Rentals Manager


About the Position

This is a full-time, salaried, exempt position. The nature of the position requires flexibility of scheduling and additional hours for certain projects and programs. Schedule includes primarily weekday and weekend daytime hours, but evenings may be required. The Rental Manager is responsible for determining their own schedule as required for events and appointments. Scheduling is submitted monthly for approval from the Director of Operations.

The position reports to the Director of Operations.

Serves as primary salesperson and customer representative for rental events at the Delaplaine.

  • Oversees comprehensive sales process for selling external rentals of Delaplaine facility spaces, including but not limited to inquiry responses, advertising and promotion, post-event surveys, demonstrations, emails, telephone calls, and in-person meetings.
  • Provides excellent customer service, responding to customers in a timely manner, including outside of normal business hours.
  • Monitors event rentals, as may be required, ensuring rental clients adhere to contracts and follow all applicable rules.
  • Serves as liaison with third party event vendors (caterers, florists, DJs, etc.) and ensures outside vendors adhere to rules and regulations.
  • Works in close collaboration with the Operations Manager for the physical set-up and clean-up of all rental spaces, as appropriate.

Manages event data and financial records.

  • Maintains accurate and up-to-date schedule of all usage of Delaplaine rental spaces and keeps an updated master events schedule.
  • Keeps all financial records of rentals up-to-date and prepares monthly rentals report.
  • Gathers data on hotel usage by rental customers and their guests.

Serves as primary event planner for the Delaplaine’s Alliance organizations’ hosted events.

  • Maintain and organize stock of Delaplaine owned event supplies, including décor, furniture, table linens, glassware, and lighting.
  • Coordinate with committees and club members to arrange décor, outside vendors, and scheduling for Alliance organizations’ events.
  • Balances priorities and commitments between internal Delaplaine, Alliance, and paid rental events.

Required

  • Minimum of 2–5 years of experience in a related role such as event planning, hospitality, rental venue, or customer service management.
  • Must be able to lift up to 40 pounds and climb ladders.
  • Must have exceptional interpersonal skills and enjoy working with people.
  • Must be detail-oriented, as well as have excellent time management and organizational skills.
  • Must be dependable and able to work independently.
  • Must be able to communicate effectively in person, by phone, and electronically.
  • Must be able to operate standard office technology.
  • Must have reliable transportation.

Preferred

  • BA in event management, hospitality, business administration, or related field.
  • Relevant professional certification (CMP, TIPPS, etc.).
  • Experience working for or with nonprofit organizations.
  • Experience working with scheduling or workflow software.

Starting Salary

$40,000/annual

There is a 90-day probationary period. Optional medical benefits are available after (3) months. This position includes (6) paid fixed holidays and (5) paid floating holidays, vacation leave, and sick and safe leave. Parking stipend for the parking deck next door is available.

Operations Associate


About the Position

This part-time, hourly position is typically scheduled Fridays and Saturdays, 5–11:30 pm. Hours may sometimes vary earlier or later, and some scheduling flexibility is required. Additional hours may be available on a seasonal basis.

The position reports to the Director of Operations.

Serves as building attendant and rental event liaison on Friday and Saturday evenings.

  • Staff the front desk monitoring public or private events.
  • Assist rental event hosts and attendees.
  • Sell merchandise and registration through point-of-sale system.
  • Monitor all public and rental facilities (restrooms, kitchen, etc.) and tidy or stock supplies as needed.
  • Assist with some event set-up per guidance provided by the Rentals Manager.
  • Provide AV support as needed.
  • Remove trash from the building as necessary.
  • Secure the facility at the end of shift.
  • If there is no event, perform supply organization/light cleaning as directed.

The ideal candidate will live within an easy walking or commuting distance to downtown Frederick.

Required

  • Must be willing to work the required Friday and Saturday schedule.
  • Must be able to move up to 40 lbs.
  • Must be able to sit for long periods of time.
  • Must have excellent interpersonal skills and enjoy working with people.

  • In-person customer service or event experience.
  • Experience with Square point-of-sale system.

Starting Salary

$16.50/hour
